US Visa Invitation Letter Request Process Guidelines for AAA Conferences

The American Ambulance Association is proud to welcome attendees from around the world at our Annual Conference & Trade Show.

Certain countries require conference delegates (attendees) to obtain a visa in order to attend an American Ambulance Association event. Some countries also request a letter from the AAA to verify a participant’s attendance at the event, often including verification that registration fees have been paid in full in addition to a pre-scheduled in-person interview. This process can take several weeks or months, depending on the home country of the attendee. 

The American Ambulance Association will issue visa invitation letters to the following groups:

AAA visa invitation letters will include the following information:

  • Conference title, dates, and location
  • That the requester has paid the required registration fee in full
  • The requester’s role at the conference (speaker, sponsor, attendee, etc)

To request a visa letter:

  • Register online for our event at and PAY IN FULL for your attendance or exhibition. 
  • Email a visa letter request to Your request MUST include your full legal name as it appears on your passport, the name of the organization you work for, your full address, phone number, and email address, and your dates of travel.
  • AAA will review your request within three business days. If approved, a PDF invitation letter will be emailed to you.

AAA is not responsible for any travel delays caused by visa invitation letter content or delivery times. AAA DOES NOT offer refund policy exceptions for denied visas. Consult an attorney for immigration and passport control guidelines for your home country.
